The AI assisted Document Importer is a feature we build on request, tailor-made to your suppliers and plugged into your R24k Travel Manager. It reads the supplier documents you actually receive and turns them into quotation rows.

Every DMC knows this routine. A supplier sends a trip quote, a guide quote, or a transfer quote. PDF, Word, Excel, whatever they happen to use. You open it in one window, your quotation in another, and you start retyping. Service name, amount, currency, markup. Then you do the math. Then you check VAT. Then you start over because you missed a delivery fee.

We build supplier-document importers that sit inside the R24k Travel Manager and read the actual files your suppliers send you. Every DMC has its own pool of suppliers with their own quote formats. Some send tidy Excel sheets with one column per service. Others send three-page PDFs of mixed currencies, totals at the bottom, and a footnote about insurance. Others still email Word documents that started life as a template ten years ago. We fit the importer to your suppliers, so it understands your formats from day one.

Under the hood it talks to Claude, Anthropic’s AI. The model reads the document directly. PDFs are the hard case, and the model handles them. Word and Excel are even easier. It identifies the supplier and links it to your existing contacts, or creates one with the supplier’s currency already set so the foreign-currency badges in TM work the way they should. It separates real service line items from totals-section adjustments. It converts amounts at your stored exchange rate, applies your markup, and writes the rows.

You see everything before it commits. A preview screen shows each service group, the original amount in the supplier’s currency, the converted amount in your base currency, and the final selling price after markup. Anything the AI is unsure about, anything it found in the totals section but could not classify cleanly, things like VAT, insurance, or delivery surcharges, gets a yellow warning card with a checkbox. You decide if it goes in.

The importer gets smarter for you over time. Every import teaches it what your suppliers actually send. Per-supplier patterns are remembered, so the second time AV Center sends you a quote, the importer already knows that line three is rigging, line four is power, and the footnote at the bottom is the insurance charge they always tack on. The third time it is faster again. You build a quiet trained corpus of your own supplier behaviour, without anyone writing rules.
