Booking Manager


The DMC Booking Manager is organised into eight tabs, each stacked with functionality to handle every stage of a reservation. From the first enquiry to the final payment, it keeps all booking details, documents, and communications in one streamlined workspace. 1) Booking Summary

The Booking Summary tab provides an at-a-glance overview of the most important details for each reservation. Key elements include:

  • The staff member assigned to manage the booking
  • Status of the signed agreement
  • Whether the booking confirmation has been generated
  • Invoice details including amount, invoice number, and payment status
  • Total payments received to date
  • A quick-action button to release online vouchers
  • A summary of all service statuses (booked, paid, requested, and more)

2) Booking Details

The Booking Details tab displays a full overview of the quotation, using the same icons as in the Quotation Manager. Each icon represents a specific service, accommodation, transport option, or other booking element. Clicking an icon opens a dedicated screen where you can:

  • Send an email for a reservation request
  • Create reservation vouchers
  • Record a payment
  • Update the service status

3) Booking Data

The Booking Data tab provides tools for generating and managing key guest documents. Main features include:

  • Creating a booking contract to send to the guest when required, with templates saved and managed in the Settings section
  • Using the Itinerary Creator to automatically generate text from the system, with the option to add last-minute notes before sending or printing for guests, travel agency partners, or tour guides
  • Accessing the Documents section, which lists all generated PDFs such as vouchers and welcome signs, and allows uploading and sending additional guest documents as email attachments
  • Producing a welcome sign to greet guests on arrival, ready to print for taxi drivers, private car drivers, or representatives meeting guests at airports, bus stations, and other locations

4) Booking Emails

The Booking Emails tab serves as a central hub for all communication related to a booking. Key functions include:

  • Collecting all outgoing emails sent from the Booking Manager
  • Optionally connecting the Travel Manager to your mail server so incoming booking-related emails are also stored here
  • Providing a single, organised view of both outgoing and incoming messages
  • Storing and displaying all attachments separately in a convenient list

5) Accounting

The Accounting tab handles invoicing, receipts, expenditures, and multi-currency conversions. Key functions include:

  • Automatically generating invoices from the quotation, with options to add line items or issue credit notes
  • Displaying incoming payments in Receipts and service-level outgoings in Expenditures
  • Recording receipts and expenses in multiple currencies, with totals converted to your base currency
  • Updating exchange rates daily and allowing you to set a percentage margin from the mid rate used in the conversions

6) Agenda

The Agenda tab provides a calendar view of all guest trips, with days containing bookings clearly highlighted. Hovering over a date displays the total number of bookings for that day, and clicking a date opens a summary showing guest names, locations, and other relevant details.

Colour codes indicate booking volume:

  • Green: 1 to 9 bookings
  • Yellow: 10 to 19 bookings
  • Red: 20 or more bookings

7) Guest Board of the DMC Booking Manager

The Guest Board tab offers an overview of all guests within a selected two-month period. Use the month and year dropdowns to choose the desired range. Hovering over the information icon reveals the service inclusions for that day, along with their current statuses.

8) Action List – DMC Booking Manager Tools

The Action List tab provides a sortable overview of all bookings and their related tasks. You can sort by any column header, such as booking number, guest name, service description, or date. The list displays all services, accommodations, and other items requiring attention, along with their current status (for example, confirmed, paid, or not needed).
